Interpretation and Translation Services Cancellation Protocol

A scheduled Interpreter must provide a notice of cancellation within 48 hours.

Assignments cancelled by the Interpreter or the Translator without just cause must be reported, by the person who requested the Interpreter/Translator, to the Parent and Community Engagement Office (PCEO) at PCEO@tdsb.on.ca within 24 hours of the cancelation.

The PCEO will investigate the reported assignment cancellation(s) and take any necessary actions. These actions may include termination of the Interpreter/Translator assignment with the TDSB.

Cancellation of an Interpreter – SmartFind (SFE) and Approved Roster

If a scheduled Interpreter assignment is cancelled more than 24 hours in advance, the Interpreter receives NO payment for the scheduled assignment.

If an interpreter who is called to and appears at the school/designated location and is not used shall be compensated for hours scheduled (e.g. if 3 hours were scheduled the interpreter will be paid 3 hours).

If a scheduled interpreter assignment is cancelled less than 24 hours in advance of the scheduled reporting time, the following payments will apply:

  • If the scheduled time was less than 4 hours from cancelation, the Interpreter is paid for 2 hours.
  • If the scheduled time was 4 hours or more and less than 24 hours from cancelation, the interpreter is paid for 3 hours.

Each day of a multi-day assignment is considered a separate assignment for purposes of cancellation. For example, if an interpreter is reserved for 2 parent meetings less than 4 hours from cancelation, the Interpreter is paid for 2 hours. If the assignment was 4 hours or more and less than 24 hours from cancelation, the interpreter is paid for 3 hours.

Cancellation of an Interpreter – Outside Vendors (including ASL)

All cancellations of Interpreters sourced by outside vendors must be cancelled at least 4 days in advance of the start date of the assignment to avoid being charged full fee.

Cancellation of a Translator – SmartFind (SFE) and Approved Roster

Translators are paid for the translations of documents unless the translation performed is of poor quality or has not been delivered to client prior to or on the agreed upon deadline. The quality of the translation will be verified by contacting PCEO@tdsb.on.ca. Cancellation of a translation request must occur within ½ hour of transmitting the original document. Failure to do so will result in full payment for the assignment.

Cancellation of a Translator – Outside Vendors

When securing translations via MCIS Translation Service (MCIS), MCIS will communicate with the requester, copying PCEO, a quote for the request. This is the point where the translation can be cancelled. The requester will be charged full fee (according to guidelines) if a cancellation happens after this point.
